Viewing Self Check

This feature is available after applying for WORKS Finance.

In the View Self Check, you can check expense plan or settlement requests that violate audit items, confirm abnormal history such as holiday and night time usage or duplicate usage, and audit inappropriate expenses. If an expense is judged to be inappropriate, the expense admin can request the creator of the settlement case to provide an explanation.

You can check explanation requests and results as a list in the Manage Violations/Explanations menu.

Audit Item Violation

You can check expense plan and expense settlement requests that violate the audit items set in the Manage Self Check menu. You can check the detailed information about which audit items have been violated by each request, and request the creator of the settlement request to provide an explanation if necessary.

Check Expense Plan Request That Violated Audit Items

To check an expense plan request that violated audit items, click the ‘Expense > View Self Check > Audit Item Violation’ in the PC web page, and then click the ‘Expense Plan Request’ tab.

The ‘Expense Plan Request’ tab menu is displayed if expense plan use status is set to ‘Y’ in the ‘Expense > Settings > Expense Settings’ menu. When requesting an expense plan, both the user and expense admin can check audit violation details.

The Expense Plan Request tab in the Audit Item Violation page is laid out as follows.

Area Description
① Search Window Search the violation history by affiliated department, period, creator, expense item, plan document number and title, explanation request, explanation response, and project code
② Plan request list View requested expense plans as a list

  • Click ‘Plan Document Number’ in each row to check the expense plan document
  • Click ‘Affiliated Department’ in each row to check the department information
  • Click ‘Creator’ in each row to check the creator information
  • Click ‘Project Code’ in each row to check the detailed project information
  • Click ‘Number of Violations’ in each row to check violation details

Check Expense Settlement Request That Violated Audit Items

To check an expense settlement request that violated audit items, click the ‘Expense > View Self Check > Audit Item Violation’ menus in order in the PC web page, and then click the ‘Expense Settlement Request’ tab.

The Expense Settlement Request tab in the Audit Item Violation page is laid out as follows.

Area Description
① Search Window Search the violation history by affiliated department, period, creator, expense item, evidence type, place of use, settlement document number and title, explanation request, explanation response, and project code (only provided if the admin has set to use project code)
② Explanation Request Send an email to the creator of the selected settlement request to request an explanation
Once the creator registers the explanation response, the explanation response item is indicated as ‘Y’
③ Exclude Explanation Exclude currently selected settlement history from explanation

  • Save after entering the reason for exclusion from explanation
  • You can exclude explanations if the company's internal policies don't require them
  • When excluding explanations after requesting them, users can't enter explanations even if they receive the explanation request email
④ Settlement request list View requested settlement requests in a list, with items required for explanation displayed by default

  • Explanation Status: Not requested, Explanation requested, Explanation excluded, Explanation completed; For the Explanation excluded status, you can check the cause by clicking and cancel the explanation exclusion by clicking
  • Click the Settlement Document Number in each row to view the expense settlement document
  • Click ‘Affiliated Department’ in each row to check the department information
  • Click ‘Creator’ in each row to check the creator information
  • Click ‘Project Code’ in each row to check the detailed project information
  • Click ‘Number of Violations’ in each row to check violation details
  • For the place of use, the merchant displayed in the corporate credit card usage history is displayed if you have integrated credit cards, and the place of use is displayed if it has been entered manually without credit card company integration

Holiday Usage

You can check expenses used on holidays and request an explanation. Holidays include the holidays set in the ‘Business Support Settings > Settings > Manage Company Holidays’ menu, absent days registered by the expense settlement requester, and annual leave use dates of the requester.

The Holiday Usage Status page is laid out as follows.

Area Description
① Search Window Search the violation history by affiliated department, creator, period, expense item, evidence type, place of use, settlement document number and title, holiday type, explanation request, explanation response, and project code
② Explanation Request Send an email to the creator of the selected settlement request to request an explanation
Once the creator registers the explanation response, the explanation response item is indicated as ‘Y’
③ Holiday usage history list View expenses used on holidays as a list

  • Click the Settlement Document Number in each row to view the expense settlement document
  • Click ‘Affiliated Department’ in each row to check the department information
  • Click ‘Creator’ in each row to check the creator information
  • Click ‘Project Code’ in each row to check the detailed project information

Night Time Usage

In the Night Time Usage menu, you can check settlement requests for cases that used corporate cards at night time and request an explanation if necessary.

This menu is displayed if the credit card company integration is set to ‘Y’ in the ‘Expense > Settings > Set Expense’ menu. You can set the time of night time in this menu.

The Night Time Usage Status page is laid out as follows.

① Search Window Search by affiliated department, period, creator, expense item, evidence type, place of use, settlement document number and title, explanation request, explanation response, and project code
② Explanation Request Send an email to the creator of the selected settlement request to request an explanation
Once the creator registers the explanation response, the explanation response item is indicated as ‘Y’
③ Night time usage history list View expenses used at night time as a list

  • Click the Settlement Document Number in each row to view the expense settlement document
  • Click ‘Affiliated Department’ in each row to check the department information
  • Click ‘Creator’ in each row to check the creator information
  • Click ‘Project Code’ in each row to check the detailed project information

Outside Usage

You can check expenses used outside of work areas among completed expense settlements and request an explanation if necessary.

This menu is displayed if credit card company integration is set to ‘Y’ in the ‘Expense > Settings > Expense Settings’ menu. The distance of outside areas is measured based on the company address registered in ‘Business Support Settings > Company Information > Manage Company Information’. Only the cases that have the address of the place of use in the data scraped from the credit card company are viewed.

The Outside Usage Status page is laid out as follows.

  • Click ‘Affiliated Department’ in each row to check the department information
  • Click ‘Creator’ in each row to check the creator information
  • Click ‘Project Code’ in each row to check the detailed project information

Duplicate Usage at Same Time

You can check transaction cases that used the same corporate card within the given time among completed expense settlements and request an explanation if necessary.

This menu is displayed if credit card company integration is set to ‘Y’ in the ‘Expense > Settings > Expense Settings’ menu. You can set the standard time to judge duplicate usage in this menu.

The Duplicate Use at Same Time Status page is laid out as follows.

Area Description
① Search Window Search by affiliated department, period, and time of use
② Detailed History of Duplicate Usage It displays the detailed information of each duplicate use history.

Duplicate Usage in Same Place of Use

You can check transaction cases that used the same corporate card in one place of use among completed expense settlements and request an explanation if necessary.

This menu is displayed if credit card company integration is set to ‘Y’ in the ‘Expense > Settings > Expense Settings’ menu. You can set the standard number of transactions to judge duplicate use in this menu.

The Duplicate Usage in Same Place of Usage Status page is laid out as follows.

Area Description
① Search Window Search by creator, date of use, evidence type, place of use, explanation request, and explanation response
② Detailed History of Duplicate Usage It displays the detailed information of each duplicate use history.

Duplicated Expense Settlement Request

You can check completed expense settlements that have the same date of use, amount of use, evidence type, or card number but a different document title, place of use, or expense item. If suspected as a duplicate settlement, you can request an explanation.

The Duplicate Expense Settlement Request Status page is laid out as follows.

Area Description
① Search Window Search by affiliated department, period, creator, expense item, evidence type, place of use, settlement document number and title, explanation request, explanation response, and project code
② Explanation Request Send an email to the creator of the selected settlement request to request an explanation
Once the creator registers the explanation response, the explanation response item is indicated as ‘Y’
③ Settlement list View settlement requests that can possibly be duplicate settlements as a list

  • Click the Settlement Document Number in each row to view the expense settlement document
  • Click ‘Affiliated Department’ in each row to check the department information
  • Click ‘Creator’ in each row to check the creator information
  • Click ‘Project Code’ in each row to check the detailed project information
