{"id":53558,"date":"2020-06-22T20:10:14","date_gmt":"2020-06-22T11:10:14","guid":{"rendered":"\/en\/policy\/"},"modified":"2026-04-08T15:01:06","modified_gmt":"2026-04-08T06:01:06","slug":"policy","status":"publish","type":"admin-guides","link":"https:\/\/help.worksmobile.com\/en\/admin-guides\/archive\/policy\/","title":{"rendered":"Retention policy"},"content":{"rendered":"<p><div class=\"green lw_tip\"><div class=\"lw_tip_content\">This feature is available after applying for the Archive option.<\/div><\/div><\/p>\n<p>Set the data retention period and target for archiving.<\/p>\n<p>Even if the user deletes the data, the data corresponding to the set retention period and target is retained and can be searched by creating an issue.<br \/>\nDepending on the administrator's settings, data on sent and received emails and messages can be stored for 1 to 10 years.<\/p>\n<p>The default settings for the archive retention policy are as follows:<\/p>\n<ul>\n<li>Scope of archive: Entire domain<\/li>\n<li>Retention period: 10 years<\/li>\n<\/ul>\n<p>The constraints of the archive retention policy are as follows:<\/p>\n<ul>\n<li>Data belonging to deleted members will not be archived.<br \/>\nHowever, message data belonging to deleted members will be archived so that messages exchanged with current members can still be viewed, and will be deleted when your NAVER WORKS account is canceled.<\/li>\n<li>Emails permanently deleted from the trash before archiving will not be archived.<\/li>\n<li>Issues cannot be searched based on deleted members.<\/li>\n<\/ul>\n<h1>Message archiving<\/h1>\n<p>Set the scope and period for message data storage.<\/p>\n<ol>\n<li class=\"li1\">In the left menu of Admin, select 'Archive' to expand the menu, then click 'Storage Policy' to go to 'Storage Policy'. <\/li>\n<li class=\"li1\">Select 'Message'.\n<ul>\n<li>Archiving scope: Set the scope of message data to store. You can select from the entire domain, specific members, and none.\n<ul>\n<li>Entire domain: Stores message data sent and received by all members of the company.<\/li>\n<li>Specific member: You can store message data exchanged by a specific member. When you select 'Specific member', the 'Specific member' field appears, allowing you to search for a member. There is no limit to the number of members you can select.<\/li>\n<li>Not use: Message data will not be stored.<\/li>\n<\/ul>\n<\/li>\n<li>Storage period: Displays how long the message data will be stored. You can set up from 1 year to 10 years; each option increases yearly. It is stored for a set period based on the time the message was sent and received.<br \/>\nWhen setting up new archiving, data from 6 months ago based on the retention period is stored. When you continue to use archiving, data older than the <em class=\"green_text\">retention period<\/em> will be deleted after the set period.<\/li>\n<\/ul>\n<\/li>\n<li>Press 'Save'.<\/li>\n<\/ol>\n<p>\u00a0<\/p>\n<p>However, for Bot messages with external URL types (Bot_Audio, Bot_Video, Bot_Image), only the conversation content will be stored, and attachments will not be saved.<\/p>\n<h1>Email archiving<\/h1>\n<p>Set the scope and period for mail data storage.<\/p>\n<ol>\n<li class=\"li1\">In the left menu of Admin, select 'Archive' to expand the menu, then click 'Storage Policy' to go to 'Storage Policy'. <\/li>\n<li class=\"li1\">Press 'Mail'.\n<ul>\n<li>Archiving scope: Set the scope of email data to store.
