Manage issues

This feature is available after applying for the Archive option.

When responding to requests from judicial authorities, we often need to search through our retained data and provide only the information directly relevant to the case.

In such cases, you can create and manage an issue to ensure only the relevant information is searched.

In Manage Issues, you can add, edit, and delete issues. Also, you can check the issue results and download them.

Manage Issues page

The following describes each item on the Manage Issue page.

Mobile

  1. In the left menu of Admin, select 'Archive' to expand the menu, then click 'Manage Issues' to go to 'Manage Issues'.
    • The page provides information on registered issues.
      • Category: Categorized as either Message or Mail.
      • Issue Name: The title of the registered issue.
    • Search: Click 'Search' to view the search results of the issue based on the current point in time.

PC Web

  1. In the left menu of Admin, select 'Archive' to expand the menu, then click 'Manage Issues' to go to 'Manage Issues'.
    • Category: Categorized as either Message or Mail.
    • Issue Name: The title of the registered issue.
    • Registrant: The name of the member who registered the issue.
    • Last Edited Date: The date the issue was last edited.
    • Search: Click 'Search' to view the search results of the issue based on the current point in time.

Register issue

Register a condition to be searched from the archived data as an issue.

If you need to search with the same conditions afterward, you can search without re-entering the conditions by registering as an issue.

PC Web

  1. In the left menu of Admin, select 'Archive' to expand the menu, then click 'Manage Issues' to go to 'Manage Issues'.
  2. Press 'Register issue'.
  3. Enter the information in the entry fields of the 'Register issue' window.
    • Issue name: Enter the title of an issue.
    • Category: Select between Mail and Message to search.
    • Search target: Only available when Mail is the selected type from above.
      • All: Search for all members’ mailboxes.
      • Member: Search for a specific member's mailbox.
    • Sender: Specify the sender.
    • Recipient: Specify the recipient. You can specify up to 10 people.
    • Contents
      • Search all: Search all of the subject, body, and attached files.
      • Subject+Body of message
      • Subject
      • Body
      • Attached File(s): Search for file names and file document contents. However, only the file name can be searched for large attachments or attachments with passwords applied.
    • Security level: You can select the level name set in 'Admin > Security > Mail Security > Security level'.
      • Do not use
      • General
      • Restricted: If you have edited the level name, it may be displayed in the revised name.
      • Confidential: If you have edited the level name, it may be displayed in the revised name.
      • Non-business
    • Period
  4. Press 'Save' at the bottom to register an issue.

Edit issue

PC Web

Edit the contents of saved issues.

  1. In the left menu of Admin, select 'Archive' to expand the menu, then click 'Manage Issues' to go to 'Manage Issues'.
  2. Click the issue you want to edit from the 'Issue Name' field.
  3. Make changes in the 'Edit issue' window.
  4. Click 'Save' at the bottom to edit the issue.

Delete issue

Delete the saved issues.

You can select and delete the issues on the 'Manage Issues' page.

PC Web

You can delete multiple issues at once.

  1. In the left menu of Admin, select 'Archive' to expand the menu, then click 'Manage Issues' to go to 'Manage Issues'.
  2. Check the checkbox of the issues you want to delete from the list on the 'Manage Issues' page and then click 'Delete' above.
  3. Click 'OK' to delete the selected issue.

Check the search results based on the conditions of the registered issue.

Press 'Manage Issues' on the right end of the 'Search' page to view.

Message room search results

Search results for issues that selected Message as the type.

Mobile

  • The following information is available in the search results.
    • Message / File name: The name of the most recently exchanged message or file in the message room.
    • Sender: The name of the user who sent the message is displayed.
    • Receipt time: The time the message was received.
    • Chatroom name/members: Displays the name of the message room to which the message was delivered. When there is no name for the message room, the user's name is displayed instead.

PC Web

  • Chatroom name/members: Displays the name of the message room to which the message was delivered. When there is no name for the message room, the user's name is displayed instead.
    • Click the name of the message room to view the name, team, and position of all the members included except the sender.
    • Click the user's name to search the received and sent messages of the member. If the user is a member, you can look up the member in the organizational chart.
  • Sender: The name of the user who sent the message is displayed. Click the user’s name to search the received and sent messages of the member. If the user is a member, you can look up the member in the organizational chart.
  • Message / File name: The name of the most recently exchanged message or file in the message room. Press the message or file name to access the 'Find chat room contents' window.
  • Receipt time: The time the message was received.
  • Download: Download the search results.

Email search results

Search results for issues that selected Mail as the type.

Mobile

  • The following information is available in the search results.
    • Mail title/body: The subject and body of the email are displayed.
    • Owner: The person who stores the email.
    • Received/Sent time: The time the email was sent or received.

PC Web

  • Owner: The person who stores the email.
  • Mail title/body: The subject and body of the email are displayed. If you click the title area, you can access the contents of the selected email in a separate window.
  • Attach: is displayed when there are attachments in an email.
  • Received/Sent time: The time the email was sent or received.
  • Download: Only download the selected results. Check on the left, then click 'Download'.
  • Download all: Download the entire search results.
