Administrators can set whether to use each feature of ClovaNote.

Auto Speaker Identification usage settings

You can set whether or not to use the Auto Speaker Identification feature that automatically identifies who said what during a meeting.

If you turn this on, participants can be matched to members in the Contacts list once, and the AI will automatically identify the speaker in subsequent meetings, enabling you to take meeting minutes more accurately and efficiently.

Activate functionality

1. In the left menu of Admin, select Service to expand the menu, then click ClovaNote.
2. Select the 'General' tab.
3. Check the notification regarding the processing of personal information through the Auto Speaker Identification pop-up.
4. After reading the notification thoroughly, select the checkbox.
5. Press 'Use' at the bottom of the pop-up window. If you do not want to use the feature, press 'Close'.
6. The Auto Speaker Identification item toggle in the 'Usage settings' section will be enabled.
7. Click 'Save' at the top right.

Once it has been enabled, members can use the Auto Speaker Identification function when they access notes.

Disable functionality

1. In the left menu of Admin, select Service to expand the menu, then click ClovaNote.
2. Select the 'General' tab.
3. Click on the Auto Speaker Identification item toggle in the 'Usage settings' section.
4. Check the precautions.
   • When you turn off the feature, all data collected for provision is permanently deleted after 7 days.
   • Once deleted, the data cannot be restored.
5. 'Delete collected data for Auto Speaker Identification.' Select the checkbox and click 'OK'.
6. Click '
   ' at the top right.

If you reactivate the feature within 7 days of disabling it, you can once again use your saved voice matching data.
After 7 days, the data is permanently deleted.

Restrict note creation

You can restrict note creation for a certain team or member.

Restricted members can only view the note and cannot create, edit, share, or download it.

Add note creation restriction

1. In the left menu of Admin, select 'Service' to expand the menu, then press 'ClovaNote'. On mobile, tap to open the menu.
2. Select the 'General' tab.
3. Press 'Manage' on the right side of the 'Creation and editing restrictions for specific members' section.
4. Click 'Add Member' at the top right.
5. Select the member to restrict the creation of notes and press 'OK'. You can add up to 100 people at once.

Remove restrictions on the creation of notes

You can remove the note creation restriction for members.

1. In the left menu of Admin, select 'Service' to expand the menu, then click 'ClovaNote'. On mobile, tap to open the menu.
2. Select the 'General' tab.
3. Press 'Manage' on the right side of the 'Creation and editing restrictions for specific members' section.
4. Press 'Remove' right to the member to remove the restriction.
5. Read the precautions and press 'OK'.

Select and press 'Remove' at the top left to remove restrictions on multiple members at once.

You can also click at the top right to search for a specific member.

Note feature restriction

Set whether to use the main features of ClovaNote.

The settings apply to all members.

1. In the left menu of Admin, select 'Service' to expand the menu, then press 'ClovaNote'. On mobile, tap to open the menu.
2. Select the 'General' tab.
3. Select or deselect left to the feature to restrict in the 'Note feature restriction for all members' list.
   • Restrict audio playback for received notes: Restrict playing the audio file of the shared note. However, the creator can play the audio file of the note they created.
   • Restrict downloading transcript: Restricts downloading transcribed text files from notes.
   • Restrict downloading memos: Restrict downloading the memo file of the note.
   • Restrict sharing notes: Restrict sharing of the note. All shared links created before the restriction settings will also expire.
4. Press 'Save'.

Set automatic note deletion period

Set whether to automatically delete notes created by members and specify the deletion period.

When a period is set, notes will be automatically deleted after the specified duration from the date the member created the note.

The settings apply to all members.

1. In the left menu of Admin, select 'Service' to expand the menu, then click 'ClovaNote'. On mobile, tap to open the menu.
2. Select the 'General' tab.
3. Click the 'Automatically delete notes after' section.
4. Select the period for automatic deletion.
5. Press 'Save'.
