This function can be used by applying for the Message archiving option for the Standard and Advanced plans, or Mail archiving option for the Advanced plan.
Set the archiving period and target for data storage.
Even if the user deletes the data, the data that fits the set archiving period and target is stored and can be searched by creating an issue.
However, emails that are permanently deleted from Trash before archiving will not be stored.
Depending on the administrator setting, you can store data for exchanged emails and messages for a year to 10 years maximum.
However, email data of deleted members cannot be archived.
Message data of deleted members is stored for the archiving period and is deleted when NAVER WORKS or the archiving option subscription is cancelled.
Message Archiving
This function is available for Standard and Advanced plan users who purchased the Message Archiving option.
Set the scope and period for message data storage.
- Select 'Archive' from the left to expand the menu and press 'Storage Policy' to access the page.
- Press 'Message' on the top.
- Archiving scope: Set the scope of message data to store. You can select from the Entire domain, Specific member, and No.
- Entire domain: Stores message data sent and received by all members of the company.
- Specific member: Store specific members’ exchanged message data. If you select 'Specific member', the entry field that you can search for members appears. There is no limit to the number of members you can select.
- Not use: Do not store message data.
- Storage period: Displays how long the message data will be stored. You can set up from 1 year to 10 years; each option increases yearly. It is stored for a set period based on the time the message was sent and received.
When setting up new archiving, data from 6 months ago based on the retention period is stored. When you continue to use archiving, data older than the retention period will be deleted after the set period.
- Archiving scope: Set the scope of message data to store. You can select from the Entire domain, Specific member, and No.
- Press 'Save'.
Mail archiving
This function is available for Advanced plan users who purchased the Email Archiving option.
Set the scope and period for mail data storage.
- Select 'Archive' from the left to expand the menu and press 'Storage Policy' to access the page.Â
- Press 'Mail' on the top.
- Archiving scope: Set the scope of mail data to store. You can select from the Entire domain, Specific member, and No.
- Entire domain: Store the entire company's mail data.
- Specific member: Store specific members' mailbox data.
If you select 'Specific member', the entry field that you can search for members appears. There is no limit to the number of members you can select. - Not use: Do not store mail data.
- Storage period: Displays how long the email data will be stored. You can set up from 1 year to 10 years; each option increases yearly.
For example, if you set the retention period to 1 year on January 1, 2022, data from January 2, 2021, to January 1, 2022, will be archived.
According to the administrator’s settings, email send/receive data will be archived based on the configured retention period. When the archiving process is complete, you will receive a notification email. Archiving may take a few days when there is a large volume of data to store.
