Change the link settings and manage the version history for collaborative folders, personal folders, and message room folders in the Drive service.
Permission to create collaborative folders
You can set collaborative folder creation permissions, and manage all collaborative folders by clicking 'Manage' below.
- In the left menu of Admin, select 'Service' to expand the menu, then click 'Drive' to go to 'Drive'. On mobile, tap to open the menu.
- Select the 'General' tab.
- Press right to 'Permission to create collaborative folders' to set permission scope.
- Only by administrator: Only administrators with access to the 'Admin > Service > Drive' menu can create collaborative folders.
- Freely by members: All members can create collaborative folders.
- Press 'Save' at the top and then 'OK'.
Link sharing and expiration settings
Set whether to allow Drive's link sharing feature and the expiration date of shared links.
The 'Share Link/Expiration' settings are applied to collaborative folders, personal folders, and message room folders.
Link sharing feature
Set whether to allow link sharing of folders or files.
- In the left menu of Admin, select 'Service' to expand the menu, then click 'Drive' to go to 'Drive'. On mobile, tap to open the menu.
- Select the 'General' tab.
- Press right to the 'Link Validity Period' field to allow the use of the feature.
- Allowed: You can share subfolders or files in Drive with links.
- Not allowed: You cannot share subfolders or files in Drive with links.
If disabled, you cannot access or use links that were created previously.
- Press 'Save' at the top and then ‘OK’.
Link sharing expiration
Set how long shared links can be used. Expired links will redirect to the expiration page and will not be available.
Once link sharing is enabled, you can set the valid period for links.
- In the left menu of Admin, select 'Service' to expand the menu, then click 'Drive' to go to 'Drive'. On mobile, tap to open the menu.
- Select the 'General' tab.
- Press right to the 'Link Validity Period' field and set the expiration for shared links. You can select from 7 days/30 days/90 days/180 days/Do not restrict.
- Press 'Save' at the top and then ‘OK’.
Link access permission
Set the access permission for links. Link access permissions can be set individually for collaborative folders, personal folders, and message room folders.
Once link sharing is enabled, you can set link access permissions.
- In the left menu of Admin, select 'Service' to expand the menu, then click 'Drive' to go to 'Drive'. On mobile, tap to open the menu.
- Select the 'General' tab.
- Press right to the 'Authority to access links' field and set the link access permission.
- 'Company Members': Only internal members logged into NAVER WORKS can access the link.
- 'Public (Password optional)': In addition to company members, anyone who knows the link or knows the password can access the link. You can set to use the password when sharing a link.
- 'Invited and completed OTP authentication': You must authenticate with One Time Password (OTP) to access the link. Used when sharing with enhanced security to allow only designated people to access and prevent links from spreading unexpectedly.
- Press 'Save' at the top and then ‘OK’.
Trash retention period
Set the retention period for files that are stored in the trash after they are deleted. Files that have passed the retention period are permanently deleted and cannot be restored.
- In the left menu of Admin, select 'Service' to expand the menu, then click 'Drive' to go to 'Drive'. On mobile, tap to open the menu.
- Select the 'General' tab.
- Press right to 'Trash Retention' and set the retention period. You can select from 5 days/15 days/30 days/50 days/Do not automatically delete files.
- Press 'Save' at the top and then ‘OK’.
Manage file version history
When overwriting a file, set the period to be saved as a version history and add or exclude the type of file to be saved as a version.
The saved file version history in a personal folder uses the personal storage and the ones in a message room folder use shared storage.
Set retention period for version history
Set the retention period for each version history that is created when overwriting a file.
- In the left menu of Admin, select 'Service' to expand the menu, then click 'Drive' to go to 'Drive'. On mobile, tap to open the menu.
- Select the 'General' tab.
- Press 'Advanced' at the bottom and then the 'Setting' on the right.
- Press 'Edit'.
- Press right to the 'Version saving period' field to select the retention period for the version history. You can select from 1 month/3 months/6 months/12 months/Permanently preserve.
- Press 'Save' at the top and then ‘OK’.
Select file types for the version history
In addition to the default file types, you can add or delete file types to leave version history.
- In the left menu of Admin, select 'Service' to expand the menu, then click 'Drive' to go to 'Drive'. On mobile, tap to open the menu.
- Press 'General'.
- Press 'Advanced' at the bottom and then the 'Setting' on the right.
- Select the document/image file extensions and set the extension of the version history. When selecting the set default extension, the version history is excluded from the save list.
- If you want to enter the extension directly, enter the file extension directly at the bottom of 'Added file' and press 'Add'.
- Extensions that you have added yourself can be removed by pressing the 'x'.
- Press 'Save' at the top and then ‘OK’.
