Message general settings

This feature is available after applying for NAVER WORKS Core.

Change the settings for the Message service.

Feature settings

You can configure settings for checking read members, the time allowed for message recall, and options for voice/video calls and screen sharing.

Check members who have read the post

Select whether to allow members to view the list of members who have read the message.

By enabling the 'Allow members to view who read their message' setting, the member who sent the message can see the members who read it.

By enabling the 'Allow members to view who read messages' setting, everyone in the message room can check who read a message or not.

You can enable 'Allow members to view who read messages' only if the 'Allow members to view who read their message' setting is on.You cannot enable 'Allow members to view who read messages' only by itself.

  1. In the left menu of Admin, select 'Service' to expand the menu, then click 'Message' to go to 'Message'. On mobile, tap to open the menu.
  2. Select the 'General' tab.
  3. Press right to the 'Read receipt' field of the 'Function'.
  4. Enable 'Allow members to view who read their message'.
    If you enable the 'Allow members to view who read their message' setting, you can also enable 'Allow members to view who read messages'.
  5. At the top right, press 'Save'.

Message recall time

You can change the time limit for recalling a message.

The time limit can be set to '1 hour' or '24 hours', and members can recall the messages they sent within the set time.In a team or group message room, the team leader or Group Master can recall other members' messages.

Message recall prevents all message room members from viewing the contents of the recalled message.They will be aware that a message was recalled.

However, messages sent to LINE cannot be recalled.

  1. In the left menu of Admin, select 'Service' to expand the menu, then click 'Message' to go to 'Message'. On mobile, tap to open the menu.
  2. Select the 'General' tab.
  3. Press right to the 'Message recall time' field of the 'Function'.
  4. Select the time limit of a message recall.
  5. At the top right, press 'Save'.

Voiceㆍvideo call and screen share

Set whether to allow the use of free videoㆍvoice calls, screen share in the PC app among NAVER WORKS users of your company.

  1. In the left menu of Admin, select 'Service' to expand the menu, then click 'Message' to go to 'Message'. On mobile, tap to open the menu.
  2. Select the 'General' tab.
  3. Press right to the 'Voice/Video call and screen share' field of the 'Function'.
  4. Enable 'Voice/Video call and screen share'.
  5. At the top right, press 'Save'.

Message room features

Set whether to use the message room features (Note, Event, Task, and Folder).

Settings will be applied to all message rooms, including team/group message rooms.

  1. In the left menu of Admin, select 'Service' to expand the menu, then click 'Message' to go to 'Message'. On mobile, tap to open the menu.
  2. Select the 'General' tab.
  3. Press right to the 'Message room features' field of the 'Function'.
  4. Select the feature you want to use from Message Room Note, Event, Task, and Folder
  5. At the top right, press 'Save'.

Manage message/file

Change settings for messages and attached files.

The set value applies to the PC web, PC app, and mobile app.

However, if the period is set shorter than the current setting, the files stored more than the set period are deleted.

Message retention/search period

Set how long you can store and search text messages.

You can check and search the contents of exchanged messages during the set period.

Messages before the set period will be automatically deleted.

  1. In the left menu of Admin, select 'Service' to expand the menu, then click 'Message' to go to 'Message'. On mobile, tap to open the menu.
  2. Select the 'General' tab.
  3. Press right to the 'Message store/search period' field of the 'File Policy'.
  4. Select the period.
  5. At the top right, press 'Save'.

Photo/file retention period

Set the period in which members can download files or photos shared in the message room.

When you change the settings, the changes apply to the previously uploaded files or photos.

If you shorten the period set previously, the files stored more than the set period are deleted and shared storage capacity increases accordingly.

However, if you set it longer than the 'Message store/search period', you can only view and download photos/files within the 'Message store/search period'.

  1. In the left menu of Admin, select 'Service' to expand the menu, then click 'Message' to go to 'Message'. On mobile, tap to open the menu.
  2. Select the 'General' tab.
  3. Press right to the 'Photo/file store period' field of the 'File Policy'.
  4. Select the period.
  5. At the top right, press 'Save'.

File size limit per 1 file

Set the maximum size per file attachment in the message room.

Setting a small maximum size prevents members from unintentionally attaching large files and filling up the shared storage quickly.

Files that exceed the size limit are not transferable.

  1. In the left menu of Admin, select 'Service' to expand the menu, then click 'Message' to go to 'Message'. On mobile, tap to open the menu.
  2. Select the 'General' tab.
  3. Press right to the 'Maximum size for a single file' field of the 'File Policy'.
  4. Select the maximum size for file exchange.
  5. At the top right, press 'Save'.

Message Room Note

Set the file size of attachments and trash retention period for deleted posts for Message Room Note.

File size limit per 1 file

Set the maximum size per file attachment in Note.

Setting a small maximum size prevents members from unintentionally attaching large files and filling up the shared storage quickly.

  1. In the left menu of Admin, select 'Service' to expand the menu, then click 'Message' to go to 'Message'. On mobile, tap to open the menu.
  2. Select the 'General' tab.
  3. Press right to 'Maximum size for a single file' of 'Message Room Note' and set the maximum file size of one attachment.
  4. At the top right, press 'Save'.

Trash retention period

Set the retention period for posts that are stored in the Trash after deleting. Posts that have passed the retention period are permanently deleted and cannot be restored.

Files stored in the trash use up shared storage.To free up capacity, posts in the trash should be permanently deleted.

  1. In the left menu of Admin, select 'Service' to expand the menu, then click 'Message' to go to 'Message'. On mobile, tap to open the menu.
  2. Select the 'General' tab.
  3. Press right to 'Trash Retention' of the 'Message Room Note' and set the retention period. Select 'Do not automatically delete files' if you do not want automatic deletion.
  4. At the top right, press 'Save'.

Message Room Folder

Change settings of the Message Room Folder link settings, trash retention period, and file version history.

If you are using the Drive option, you can change the settings in 'Service > Drive'.

 

Link sharing

Set whether to allow folders or files in the message room folder to be shared as links.

  1. In the left menu of Admin, select 'Service' to expand the menu, then click 'Message' to go to 'Message'. On mobile, tap to open the menu.
  2. Select the 'General' tab.
  3. Press right to 'Share Link' of 'Message Room Folder' and select whether to use the link sharing function.
    • Allow link sharing: Team leader or Group Master can set whether subfolders or files in the message room folder can be shared as links.
    • Do not allow link sharing: You cannot share a subfolder or file in the message room folder as a link. Once set, the previously created link will also be inaccessible and unusable.
  4. At the top right, press 'Save'.

Link access permission

Set link access permissions.

After allowing link sharing, you can set link access permissions.

  1. In the left menu of Admin, select 'Service' to expand the menu, then click 'Message' to go to 'Message'. On mobile, tap to open the menu.
  2. Select the 'General' tab.
  3. Press right to 'Link Access Permission' of 'Message Room Folder' and set the link access permissions.
    • Company Members: Only company members who are logged in to NAVER WORKS can access the link.
    • Public (Password optional): In addition to company members, anyone who knows the link or knows the password can access the link.
    • Invited and completed OTP authentication: You must authenticate with One Time Password (OTP) to access the link.
      Used when sharing with enhanced security to allow only designated people to access and prevent links from spreading unexpectedly.
  4. At the top right, press 'Save'.

Link expiration

Set how long shared links can be used.

Expired links will redirect to the expiration page and will not be available.

After you allow link sharing, you can set the valid period for the link.

  1. In the left menu of Admin, select 'Service' to expand the menu, then click 'Message' to go to 'Message'. On mobile, tap to open the menu.
  2. Select the 'General' tab.
  3. Press right to the 'Link expiration period' of 'Message Room Folder' and set the link expiration.
  4. At the top right, press 'Save'.

Trash retention period

Set the retention period for files that are stored in the Trash after they are deleted.

Files that have passed the retention period are permanently deleted and cannot be restored.

Files stored in the trash use up shared storage.To free up capacity, posts in the trash should be permanently deleted.

  1. In the left menu of Admin, select 'Service' to expand the menu, then click 'Message' to go to 'Message'. On mobile, tap to open the menu.
  2. Select the 'General' tab.
  3. Press right to 'Trash Retention' of 'Message Room Folder' and set retention period. You can choose from 5 days/15 days/30 days/50 days/Do not automatically delete files.
  4. At the top right, press 'Save'.

Version history file retention period

Set the retention period for each version history that is created when overwriting a file.

The version history of the Message Room Folder uses shared capacity.

  1. In the left menu of Admin, select 'Service' to expand the menu, then click 'Message' to go to 'Message'. On mobile, tap to open the menu.
  2. Select the 'General' tab.
  3. Press 'Advanced' and then 'Manage'.
  4. Press 'Edit' at the top right and then 'Version saving period'.
  5. At the top right, press 'Save'.

File types

In addition to the default file types, you can add or delete file types to leave version history.

  1. In the left menu of Admin, select 'Service' to expand the menu, then click 'Message' to go to 'Message'. On mobile, tap to open the menu.
  2. Select the 'General' tab.
  3. Press 'Advanced' and then 'Manage'.
  4. Press 'Edit' at the top right, and then select the extension of the file to save the version history. The selected extension is shown in blue.
    If you want to enter the extension directly, enter the file extension directly at the bottom of 'Added file' and press 'Add'. Extensions that you have added yourself can be removed by pressing the 'x'.
  5. At the top right, press 'Save'.

Screen settings

Apply Simple Mode on the PC web Message

The administrator can select whether to set the Simple Mode for everyone or to give each member an option to apply it or not.

If your network speed is slow or your PC has lower specifications, using Simple Mode can provide a more comfortable experience with NAVER WORKS. Note that in the Simple Mode, profile photos on the member and message list are not available.Also, some functions may be limited.

  1. In the left menu of Admin, select 'Service' to expand the menu, then click 'Message' to go to 'Message'. On mobile, tap to open the menu.
  2. Select the 'General' tab.
  3. Press right to the 'Apply PC Web Message Simple Mode' field of the 'Screen settings'.
  4. To allow each member to choose whether to apply the Simple Mode, select 'Optional - Give option on whether to use Simple Mode (Provide Normal Mode as default)'.For the administrator to set the Simple Mode for everyone, select 'Required - Enforce Simple Mode'.
  5. At the top right, press 'Save'.

If you selected 'Optional - Give option on whether to use Simple Mode (Provide Normal Mode as default)', the Normal Mode is set as the default. It takes about 10 minutes for the changes to apply.
