File security

This feature is not available for the Free plan of NAVER WORKS Core.

For safe file sharing, set a company-wide file security policy within the NAVER WORKS services.

  1. In the left menu of Admin, select 'Security' to expand the menu, then click 'File Security' to go to 'File Security'. On mobile, tap to open the menu.
  2. You can change the settings by pressing the button at the right for each field.
  3. Press 'Save' at the top to apply changes.

Restrict file downloads on mobile app

You can restrict file downloads to devices in the NAVER WORKS mobile app. Set whether to restrict file downloads for each service.

If you restrict file downloads,

  • Document files that are attached or sent can be previewed in a viewer, but the download button will not appear.
  • Image and video files can be viewed in a viewer, but the download button will not appear.

You can select whether to apply this function differently for each permission template in 'Security' > 'Service Authority'.

Restrict file uploads on mobile app

This feature is available after applying for WORKS Drive, WORKS Approval, or the Lite, Standard, or Standard Plus plan of NAVER WORKS Core.

You can restrict file uploads to the NAVER WORKS mobile app from mobile devices.

  • The buttons to select files/videos/photos from the device and to take photos/videos do not appear in the mobile app.
  • The button to select photos from the device does not appear in Contacts of the mobile app.
  • When sharing a file from the external app, the NAVER WORKS mobile app is not in the list of apps to send files.

Display watermark

This feature is available after applying for WORKS Drive, WORKS Approval, or the Lite, Standard, or Standard Plus plan of NAVER WORKS Core.

When you enable 'Watermark', all of the images, documents, videos you view in the mobile app will open in the NAVER WORKS mobile document viewer with the watermark displayed.

The watermark helps verify the source of any internal information leakage.

  • The watermark displays the image, document, or video viewer's company name, account, access date, and time.
  • The watermark is not displayed while uploading or editing.
  • The watermark is not displayed when someone opens the document viewer without logging in, such as via drive link sharing (open to everyone, anyone with a password, secure OTP).

Block file extensions

This feature is available after applying for WORKS Drive, WORKS Approval, or the Lite, Standard, or Standard Plus plan of NAVER WORKS Core.

You can configure settings to prevent the upload, transfer, or download of files with specific extensions that may distribute malicious code within NAVER WORKS services.

  • Select which services to apply the file extension block.
  • You can specify the types of extensions to block.

After saving, it may take up to 1 hour to apply in the services.

Select services to block

File extensions specified as 'Extensions to block' from the selected services will not be shared.

Advanced settings Descriptions
Message
  • Files of blocked formats cannot be sent via message.
  • Files in blocked formats cannot be saved in message rooms.
  • Files in blocked formats cannot be sent to other message rooms.
Board
  • Files in blocked formats cannot be attached to notes.
  • You cannot edit notes with file attachments in blocked formats. To edit, you need to delete the attached file.
  • You cannot save attachments in blocked formats.
Mail
  • Emails with attachments in blocked formats will not be received. However, emails sent from IPs allowed in the inbox of monitoring IP management are received even if a blocked file is attached.
  • You cannot attach files in blocked formats to emails or memos.
  • If a file in a blocked format is attached to an email you have already received, you cannot open or save the file.
  • If an email that has already been received, saved as a draft, or sent, contains an attachment in a blocked format, the blocked file will be removed when forwarding the email or composing it again.

Emails sent from IPs allowed in the inbox of the IP management are received even if a blocked file is attached.

Calendar (Team/Group Event)
  • Files in blocked formats cannot be uploaded.
  • Files in blocked formats cannot be downloaded.
Drive (Team/Group Folder)
  • Files in blocked formats cannot be uploaded.
  • Files in blocked formats cannot be downloaded.
  • Files in blocked formats cannot be opened, copied, or moved.
  • Files in blocked formats attached to other NAVER WORKS services cannot be saved to Drive.

When integrating between services, such as attaching files from Drive to another service or saving files to Drive, if either service has restrictions, the file will be blocked.

Form
  • Files in blocked formats cannot be uploaded.
  • Files in blocked formats cannot be downloaded.
Approval
  • Files in blocked formats cannot be uploaded.
  • Files in blocked formats cannot be downloaded.
Sales
  • Files in blocked formats cannot be uploaded.
  • Files in blocked formats cannot be downloaded.

Manage file extensions to block

  • To prevent the inflow and spread of malicious codes or viruses, the recommended extensions to block are set as defaults.
  • You can remove extensions set as default by choice.
  • Also, you can add up to 200 file extensions to block according to your company policy.

For batch files, executable files, and libraries, extensions and contents are checked together. This strengthens security as it can block the files according to the content despite having different extensions.

  • DOS batch file: .bat, .cmd
  • (Windows 32/64bit) PE file: .exe, .scr
  • (Windows 32/64bit) PE library: .cpl, .dll, .ocx

Other extensions are blocked based on the extension entered in the file name.

  • .com
  • .js
  • .vbs
  • .wsf
  • .hta
  • Custom

Restrict file transfer · attachments in the external message room

This feature is available after applying for the Lite, Standard, or Standard Plus plan of NAVER WORKS Core.

You can restrict file transfer/attachment in message rooms or groups with external members (both NAVER WORKS users from other companies and LINE users).

Advanced settings Option
Chatroom with LINE users If enabled, members cannot share files in message rooms with LINE users participating.

  • When you press in the message input field, the camera, contacts, and drive (folder) icons are disabled. Therefore, you cannot send pictures taken by camera, contacts, or files in the drive (folder).
Message rooms with external NAVER WORKS users If enabled, members cannot share files in message rooms with NAVER WORKS users from other companies.

  • When you press in the message input field, the camera, contacts, and drive (folder) icons are disabled. Therefore, you cannot send pictures taken by camera, contacts, or files in the drive (folder).
  • You cannot attach files in the Note, Calendar, and Folder menus of an external group.

This setting can also be changed in 'Service' > 'Message' > 'Chat with External Users'.

File logs

In 'Admin > Audit > File', change the setting to allow administrators to check the history of downloading or viewing files from NAVER WORKS.

  • After enabling the log download feature in 'Save audit log in Audit > "File"', logs on members downloading or viewing files will be saved.
