Add, edit, or delete external contacts

This feature is available after applying for NAVER WORKS Core or WORKS Approval.

Add contacts to share and manage with your company members.

You can add up to 100 phone numbers, email addresses, birth dates, anniversary dates, companies, addresses, and so on for each respectively. The profile photo in the contact must be a .jpg, .png, or .gif file, and smaller than 10 MB.

External contacts’ information is added and used in compliance with the Act on the Protection of Personal Information.

For a single company, you can add up to 500 external contacts with the Free plan, and up to 100,000 external contacts with the Lite, Standard, and Standard Plus.

Add external contacts

The following are the ways to add external contacts.

  • Add manually
  • Add by scanning a business card

Add manually

You can add external contacts by manually entering the information.

Mobile

  1. Tap 'Contacts'.
  2. Tap and then 'Add External Contacts'.
  3. Tap 'Enter Contact Info'.
  4. Enter the information and tap 'Save' to add a contact.

PC Web

  1. Click at the top.
  2. Click 'Contacts'.
  3. Click ‘New’ at the top left.
  4. Click 'Enter External Contact'.
  5. Enter the new external contact information, and then click ‘Save’ to add. If you want to add more, click 'Save and Add More'.

Add by scanning a business card

You can quickly enter various information by scanning a business card.

Mobile

  1. Tap 'Contacts'.
  2. Tap and then 'Add External Contacts'.
  3. Tap 'Enter Contact Info'.
  4. Tap 'Scan Business Card' at the top in the add contact screen.
  5. Scan the business card by placing it within the frame. You can select between 'AUTO' and 'MANUAL' at the top of the camera screen as a scanning method.
    • AUTO: Aligning the business card within the square automatically recognizes and scans the business card.
    • MANUAL: Align the business card within the square and then press the shutter button.
  6. Check the scanned image of the business card. Rescan or edit the image if necessary.
  7. Tap 'Use' at the top right.
  8. Check if the information on the business card is entered correctly in the add contact screen. Edit the information if necessary. Tap 'Save' at the top right.

Add external contacts in bulk

You can add external contacts in bulk by importing .csv, .xls, .txt files or emails.

PC Web

Import from files

  1. Click at the top.
  2. Click 'Contacts'.
  3. In the left menu, click 'Import Contacts'.
  4. Click the format you want from 'Download CSV Sample', 'Download Excel Sample', or 'View Text Sample', and download the sample file.
  5. Add contacts to the sample file, and save.If you are using the .csv sample file, you must save the text code as UTF-8. For the .txt sample file, after clicking 'View Text Sample', copy the message shown on the screen. Then paste the text to an editing tool such as Notepad. Edit the text, and save as UTF-8.
  6. Click 'Select File' and then 'Import' to upload the saved file.
  7. Check the contact list and then select the contacts you want to save.
    • If required fields are not filled in, they are displayed in red.
    • Click 'No tags' to add tags or 'Change Visibility' to change privacy settings.
  8. Click 'Save' to add the contacts in bulk.

 

Import from emails

Use this method to add contacts with email addresses.

  1. Click at the top.
  2. Click 'Contacts'.
  3. Click 'Import Contacts' on the left menu.
  4. Click 'Import from Email'.
  5. Select a mailbox, set the conditions, and then click 'Import'.
  6. Check the contact list and then select the contacts you want to save.
    • If required fields are not filled in, they are displayed in red.
    • Click 'No tags' to add tags or 'Change Visibility' to change privacy settings.
  7. Click 'Save' to add the contacts in bulk.

Edit external contacts

The following are the ways to edit external contacts:

  • Edit manually
  • Edit by scanning a business card
  • Edit who can view a contact

Edit manually

Mobile

  1. Tap 'Contacts'.
  2. Tap .
  3. Tap 'All' in 'External Contacts'.
  4. Tap the name of contact you want to edit.
  5.  Tap .
  6. Tap 'Edit'.
  7. Edit the contact information, and tap 'Save'.

PC Web

  1. Click at the top.
  2. Click 'Contacts'.
  3. In the left menu, click 'External contacts'.
  4. In 'External contacts', click 'All contacts' or the tag name of the contact you want to edit.
  5. Click the contact you want to edit.
  6. Click in the detailed view of the contact at the right.
  7. Click 'Edit'.
  8. Edit the contact information, and click 'Save'.

Edit by scanning a business card

Mobile

  1. Tap 'Contacts'.
  2. Tap .
  3. Tap 'All' in 'External Contacts'.
  4. Tap the name of contact you want to edit.
  5.  Tap .
  6. Tap 'Edit'.
  7. Tap 'Scan Business Card' at the top of the external contact edit window.
  8. Scan the business card by placing it within the frame. You can select between 'AUTO' and 'MANUAL' at the top of the camera screen as a scanning method.

  11. Check if the information on the business card is entered correctly in the screen. You will find the added information below the existing information. Edit the information if necessary. Tap 'Save' at the top right.

Edit who can view a contact

You can adjust who can view the contact to share contacts with specific members.

Mobile

  1. Tap 'Contacts'.
  2. Tap .
  3. Tap 'All' in 'External Contacts'.
  4. Tap the name of contact you want to edit.
  5. Tap and then 'Edit'.
  6. At the bottom, select scope to 'Visible To'.
  7. Change the scope to open to 'All' or 'Members'.
    • All: Any member within the company can see the contact.
    • Members: You can specify which members, groups, and teams to display contacts. If you add yourself as the only member, the contact will become private.
  8. Tap 'Save'.

PC Web

  1. Click at the top.
  2. Click 'Contacts'.
  3. In the left menu, click 'External contacts'.
  4. Click 'All contacts' of 'External contacts' or a tag that has the contact to edit.
  5. Click a contact to edit. At the right, click on the contact details and then 'Edit'.
  6. Change the scope to open to 'All' or 'Members'.
    • All: Any member within the company can see the contact.
    • Members: You can specify which members, groups, and teams to display contacts. If you add yourself as the only member, the contact will become private.
  7. Click 'Save'.

Change the external contact owner

Change the external contact owner to another member.

The owner can set permissions to edit the contact.

Change the contact owner of individual contacts

Change the contact owner of the individual contact to another member.

Mobile

  1. Tap 'Contacts'.
  2. Tap .
  3. Tap 'Managed Contacts' in 'External Contacts'.
  4. Tap the name of contact you want to edit.
  5.  Tap .
  6. Tap 'Change Owner'.
  7. Select a new contact owner.
    In external NAVER WORKS contact, you can set whether to add the external user to the new owner’s message contact.
  8. Tap 'Confirm'.

PC Web

  1. Click at the top.
  2. Click 'Contacts'.
  3. In the left menu, click 'External contacts'.
  4. Click 'Managed Contacts'.
  5. Click the contact you want to edit.
  6. Click in the detailed view of the contact at the right.
  7. Click 'Change Owner'.
  8. Select a new contact owner.
    In external NAVER WORKS contact, you can set whether to add the external user to the new owner’s message contact.
  9. Click 'OK'.

Change the contact owner of multiple contacts

Change the contact owner of multiple contacts at once.

Mobile

  1. Tap 'Contacts'.
  2. Tap .
  3. Tap 'Managed Contacts' of 'External Contacts'.
  4. Long-press the contact you want to change the contact owner.
  5. Select all contacts to change the contact owner.
  6. Tap .
  7. Select a new contact owner.
    You can set whether to add the external user to the new owner’s message contact if external NAVER WORKS contacts are included.
  8. Tap 'Confirm'.

PC Web

  1. Click at the top.
  2. Click 'Contacts'.
  3. In the left menu, click 'External contacts'.
  4. Click 'Managed Contacts'.
  5. Select left to the name of the members to edit.
  6. Click 'Change Owner' at the top of the screen.
  7. Select a new contact owner.
    You can set whether to add the external user to the new owner’s message contact if external NAVER WORKS contacts are included.
  8. Click 'OK'.

Delete external contacts

You can delete external contacts.

Mobile

  1. Tap 'Contacts'.
  2. Tap .
  3. Tap 'All' of 'External Contacts'.
  4. Tap the name of contact you want to delete.
  5.  Tap .
  6. Tap 'Delete' to delete the contact. Please note that you cannot delete the contacts of external members who are currently in a message room with other members.

PC Web

  1. Click at the top.
  2. Click 'Contacts'.
  3. In the left menu, click 'External contacts'.
  4. In 'External contacts', click 'All contacts' or the tag name of the contact you want to delete.
  5. Click the contact you want to delete.
  6. Click in the detailed view of the contact at the right.
  7. Click 'Delete' to delete the contacts. Please note that you cannot delete the contacts of external members who are currently in a message room with other members.

Permanently delete a contact

You can permanently delete external contacts.

Mobile

  1. Tap 'Contacts'.
  2. Tap .
  3. Tap 'Trash' of 'External Contacts'.
  4. Tap the name of the contact you want to permanently delete.
  5.  Tap .
  6. Tap 'Delete' to delete the contact permanently.

PC Web

  1. Click at the top.
  2. Click 'Contacts'.
  3. In the left menu, click 'External contacts'.
  4. Click 'Trash'.
  5. Select at the left of the contact you want to permanently delete, and click 'Delete Permanently' at the top.
  6. Click 'OK' to permanently delete the contact.

Restore a deleted contact

You can also restore deleted external contacts.

Mobile

  1. Tap 'Contacts'.
  2. Tap .
  3. Tap 'Trash' of 'External Contacts'.
  4. Tap the name of contact you want to restore.
  5.  Tap .
  6. Tap 'Restore' to restore the contacts.

PC Web

  1. Click at the top.
  2. Click 'Contacts'.
  3. In the left menu, click 'External contacts'.
  4. Click 'Trash'.
  5. Select at the left of the contact you want to restore, and click 'Restore'.
  6. Click 'OK' to restore the contact.

Check contact revision history

Members who manage contacts together can check the revision history of their contacts.
You can check the revision history for the last 60 days, and the initial contact details are always available.

The criteria for which contact revision history is provided are as follows.

  • Registered the contact
  • Edited the contact
  • Merge Contacts
  • Deleted the contact
  • Restored the contact
  • Change Owner

Mobile

  1. Tap 'Contacts'.
  2. Tap .
  3. Tap 'All' of 'External Contacts'.
  4. Tap the name of the contact to view revision history.
  5. Tap 'Last Update' at the bottom of the contact details.

PC Web

  1. Click at the top.
  2. Click 'Contacts'.
  3. In the left menu, click 'External contacts'.
  4. Click 'All contacts' in 'External contacts'.
  5. Click the name of the contact to view revision history.
  6. Check 'Updated by' at the bottom of the contact details. If you would like to see the full revision history, click 'More'.
