Service permissions

This feature is not available for the Free plan of NAVER WORKS Core.

Create permission to use the service as a permission template and grant it to the appropriate members.

A permission template is a combination of permissions to use a service. 'Default' is a permission template provided by default to members. If you need a different type of permission to use the service than the default permission, you can create a new permission template.

You can also configure the settings for default permissions.

Setting default permissions

Set the service permissions that are applied by default to members.

  1. In the left menu of Admin, select 'Security' to expand the menu, then click 'Service Authority' to go to 'Service Authority'. On mobile, tap to open the menu.
  2. In the list of permission templates, select 'Default'.
  3. Select 'Service Usage Authority' and 'Feature Authority' of 'Authority Settings' to configure the default permission settings.
    • Service Usage Authority: Set whether to use the mobile app and the usage environment for each service.Select the environment in which each service is available.
      • To change the values, press 'Edit' at the top right to access the edit mode.
      • Mobile app: Choose if you want to use the mobile app. 'Do not useIf set to ', the entire service will not be available in the mobile app. 'UseIf you set it to ', you can choose whether to use the mobile app for each service. Message must be used.
      • Service-specific usage preferences: You can set the usage environment (mobile web/PC web/PC app) for each service. In addition to the usage environment, you can set whether to use mobile external mail sync, IMAP/SMTP, and POP/SMTP for Mail, CalDAV for Calendar, and Drive Explorer for Drive.
        To use Message, Calendar, or Task, you must select at least one of the usage environments.

        • Sync external emails : If set to 'Use', you can send and receive emails using a third-party email address, such as G Suite or Office 365, by syncing it with the NAVER WORKS mobile app. This feature is useful for continuing to use your existing email service within the NAVER WORKS mobile app, allowing you to integrate it seamlessly with other NAVER WORKS services, such as messaging. However, you have to choose between NAVER WORKS Mail and the email service you have been using as you can only use one of them.Also, to sync external emails, the email address of the external email service must be the same as the NAVER WORKS account (id@domain.com).
        • IMAP/SMTP: Check the checkbox to allow members to use IMAP/SMTP. With IMAP/SMTP, you can send and receive NAVER WORKS emails using email programs such as Microsoft Outlook and iPhone without connecting to the NAVER WORKS webmail service.
        • POP/SMTP: Check the checkbox to allow members to use POP/SMTP. With POP/SMTP, you can send and receive NAVER WORKS emails using email programs such as Microsoft Outlook and iPhone without connecting to the NAVER WORKS webmail service.
        • Automatic forwarding: Check the checkbox to allow members to automatically forward emails received to other email addresses. If enabled, members can use the Automatic mail classificationwill automatically forward it by entering the email address to be forwarded. 'External forwardingIf checked, you will allow members to automatically forward messages to external email addresses, such as Gmail.
        • CalDAV: Check the checkbox to allow members to use CalDAV. With CalDAV, you can check NAVER WORKS calendar events on the default calendar app of your iPhone or iPad by connecting them. However, calendar sync via CalDAV settings is not available on Android and mac devices.
    • Feature Authority: Restrict file downloads from mobile apps to devices. You can set whether to restrict downloads for each service.
  4. At the top right, press 'Save' to apply changes.

Create a permission template

If you want to grant permission to use a service that is different from the default permission, you need to create a permission template. Create a permission template by naming it and then setting the permissions to be granted.

  1. In the left menu of Admin, select 'Security' to expand the menu, then click 'Service Authority' to go to 'Service Authority'. On mobile, tap to open the menu.
  2. Press the 'Add Template' at the top of the list to open the 'Add Template' window.
  3. Enter a name for the permission template.
    • 'Default' cannot be used as a permission template name.
  4. Press 'OK'.
  5. Press the added permission template from the list and then press 'Edit' at the top right of the 'Authority Settings' section. Set the permissions that will be applied when you change to edit mode.
  6. At the top of the page, select 'Save ' to finish creating the permission template.

Edit a permission template

You can edit the name of the permission template and the permissions you set.

Mobile

  1. In the left menu of Admin, select 'Security' to expand the menu, then click 'Service Authority' to go to 'Service Authority'. Tap  to open the menu.
  2. Modify the permission, name, or settings.
    • Change name of permission
      1. Press the template name you want to edit from the list of permission templates and go to the settings page. Press at the top right and then the 'Change name of authority' to open the 'Change name of authority' window.
      2. Edit the permission template name and press 'OK' to apply changes.
    • Change permission settings
      1. Press the name of the template you want to edit the settings and go to the settings page. Press at the top and then 'Edit' to access the edit mode.
      2. Edit the settings and then press 'Save' to apply changes.

PC Web

  1. In the left menu of Admin, select 'Security' to expand the menu, then click 'Service Authority' to go to 'Service Authority'.
  2. Modify the permission, name, or settings.
    • Change name of permission
      1. Hover the mouse pointer over to the permission template list. Click and then 'Change name of authority'.
      2. Edit the name of permission and click 'OK' to apply changes.
    • Change permission settings
      1. Hover the mouse over to the permission template list. Click and then 'Edit' or click the 'Edit' button at the top right of the 'Permission Settings' page.
      2. Change the settings and click the 'Save' button to apply changes.

Delete a permission template

Delete the permission template that was created.

However, if there is a member or user type that has been granted the permission of the permission template you want to delete, you cannot delete it. You can delete a member or user type that has been granted a permission template that you want to delete after moving it to another permission template.

Mobile

  1. In the left menu of Admin, select 'Security' to expand the menu, then click 'Service Authority' to go to 'Service Authority'. Tap  to open the menu.
  2. Select the template you want to delete from the list of permission templates and go to the settings page. At the top, press and then 'Delete'.
    • If there is still a member or user type that has been granted that permission, a window will pop up saying that it cannot be deleted.

PC Web

  1. In the left menu of Admin, select 'Security' to expand the menu, then click 'Service Authority' to go to 'Service Authority'.
  2. Hover the mouse pointer over to the permission template list. Click and then 'Delete'.
    • If there is still a member or user type that has been granted that permission, a window will pop up saying that it cannot be deleted.

Grant permission to use services

You can assign the permissions of the created permission template to individual members or user types.

The priority given when granting permissions to a permissions template is as follows.

  1. Template assigned to a member
  2. Template assigned to the user type
  3. Default

Saving the latest edit details deletes the previous edit details.

Grant members specific permission templates

Grant the permissions of the created permission template to each member.

If the newly assigned template has fewer permissions, the member will be automatically logged out from the platform they are using (mobile app/PC web/PC app).

  1. In the left menu of Admin, select 'Security' to expand the menu, then click 'Service Authority' to go to 'Service Authority'. On mobile, tap to open the menu.
  2. Select the permission template you want to grant from the list of permission templates.
  3. Press 'Member' from the top and then 'Add member'.
  4. Check the checkbox of members you want to assign the permission template and press 'OK' at the bottom. You can also select members by organizational unit.
  5. Check the assigned permissions from the 'Edit' page and press 'Save' at the top right.

Grant specific permission templates to user types

Assign the created permission template in the user type unit.

Use this to categorize user types into executive, full-time, outsourced, and part-time, and assign different permissions accordingly.

You can enter or edit the user type per member in 'Member' > 'User Type'.

If the newly assigned template has fewer permissions, the member will be automatically logged out from the platform they are using (mobile app/PC web/PC app).

  1. In the left menu of Admin, select 'Security' to expand the menu, then click 'Service Authority' to go to 'Service Authority'. On mobile, tap to open the menu.
  2. Select the permission template that you want to grant from the list of permission templates.
  3. Press the 'User Type' at the right and then 'Add user type'.
  4. From the 'Add user type' window, select the user types to grant permissions and press 'OK' at the bottom.
  5. Check the assigned permissions from the 'Edit' page and press 'Save' at the top right.

Change service usage permissions

You can change the permission template that you granted to a member or user type to a different permission template, or you can change it to the default permission.

Change a member's permission template

You can change the permission template granted to a member to a different permission template in the following way on the Member tab.

Change in the member list

Make changes to the list of members grant with permissions.

If the newly assigned template has fewer permissions, the member will be automatically logged out from the platform they are using (mobile app/PC web/PC app).

  1. In the left menu of Admin, select 'Security' to expand the menu, then click 'Service Authority' to go to 'Service Authority'. On mobile, tap to open the menu.
  2. Select the permission template that has members you want to edit from the list.
  3. Press the 'Member' at the right.
  4. From the member list, press 'Change' at the right to go to the 'Change authority' page.
  5. Select the permission template to assign and press 'Save' at the top right after checking the change details.

Edit from the member information

Access the member information to change the permission template. Look up a member and change the permission template for that member.

If the newly assigned template has fewer permissions, the member will be automatically logged out from the platform they are using (mobile app/PC web/PC app).

  1. In the left menu of Admin, select 'Security' to expand the menu, then click 'Service Authority' to go to 'Service Authority'. On mobile, tap to open the menu.
  2. Press the 'Member' at the right.
  3. On the right, click 'Search memberIn the search box, type the name of the member for whom you want to change the permission template to find the member you want to change. 'Search member' The search box does not provide a search function for members in the list.
  4. Press 'Change' right to the name of a member you want to edit and go to the 'Change authority' page.
  5. Select the permission template to assign and press 'Save' at the top right after checking the change details.

Edit the permission template assigned to a user type

Make changes in the list of authorized user types.

If the newly assigned template has fewer permissions, the member will be automatically logged out from the platform they are using (mobile app/PC web/PC app).

  1. In the left menu of Admin, select 'Security' to expand the menu, then click 'Service Authority' to go to 'Service Authority'. On mobile, tap to open the menu.
  2. Select the permission template that has the user type you want to edit from the list.
  3. Press the 'User Type' at the right.
  4. Press 'Change' right to the user type to change and go to the 'Change authority' page.
  5. Select the permission template to assign and press 'Save' at the top right after checking the change details.

Edit as the default permission

You can change the created permission template into the default permission by assigning more authorities.

However, after changing the permission template as the default, the user type with the specific permission template assigned will continue to only have authorities for their user type.

  1. In the left menu of Admin, select 'Security' to expand the menu, then click 'Service Authority' to go to 'Service Authority'. On mobile, tap to open the menu.
  2. Press the permission template that has a member or a user type you want to edit.
  3. Press 'User Type' or 'Member' at the right.
  4. Press 'Remove' at the right of the one you want to edit.
