Part-timer

This feature is available after applying for WORKS Approval.

You can add part-time employees other than regular employees, as well as manage their accounts and contract information. You can register and manage part-timer workplace, and set a workplace manager to manage part-time employees belonging to the workplace. (See Management) In addition, the payroll can be settled based on the registered contract information or attendance information, and you can open the settled payroll statement part-time employees.

Manage Workplace

You can add and manage part-time employees' workplaces. You can also download the list of workplaces as an Excel file.
As you can register a part-time employee only when there is a registered workplace, register a workplace before registering a part-time employee.

The Manage Workplace page is laid out as follows.

Add Workplace

The following describes how to add workplaces.

  1. Click 'Admin Menu' at the top right of the PC web, and then click 'HR' in the pop-up window.
  2. Click at the top left of the screen.
  3. Click ‘Part-timer > Manage Workplace’ from the menu.
  4. Click 'Add'.
  5. Enter the workplace information.
    • Enter a workplace's name.
    • Search and select an employee to be designated as a manager in the workplace.
      When the company uses the Accounting service and adds a workplace for the first time, you can easily add the workplace by clicking ‘Import Business Place Information’. Select a business place to add it as a workplace. The entered workplace information is not automatically reflected in the business place management information.
  6. Click ‘Save’.
    • The workplace is added.
      An employee designated as a manager in the workplace can search information of part-time employees in ‘My Work > Management’. (See Part-timer Status)
      Each workplace requires a manager. When a manager retires, a new manager registration request mail is sent to the member admin.

Edit Workplace

The following describes how you can edit workplaces.

  1. Click 'Admin Menu' at the top right of the PC web, and then click 'HR' in the pop-up window.
  2. Click at the top left of the screen.
  3. Click ‘Part-timer > Manage Workplace’ from the menu.
  4. Click of the workplace to be edited.
  5. Apply the edited content, and then click ‘Edit’.
    • The edited information is saved.

Delete Workplace

The workplace can't be deleted if a part-time employee is assigned to the workplace. You must change the workplace of part-time employees belonging to the workplace to be deleted before deleting that workplace.

The following describes how to delete a workplace.

  1. Click 'Admin Menu' at the top right of the PC web, and then click 'HR' in the pop-up window.
  2. Click at the top left of the screen.
  3. Click ‘Part-timer > Manage Workplace’ from the menu.
  4. Click of the workplace to be deleted.
  5. Check the details in the pop-up window, and then click ‘OK’.
    • The workplace is deleted.

Download Workplace List

The following describes how to download the workplace list as an Excel file.

  1. Click 'Admin Menu' at the top right of the PC web, and then click 'HR' in the pop-up window.
  2. Click at the top left of the screen.
  3. Click ‘Part-timer > Manage Workplace’ from the menu.
  4. If necessary, enter the workplace conditions to be searched in the search window, and then click ‘Search’.
    • You can view the workplaces that match the entered conditions.
  5. Click 'Download'.
    • The workplace list is downloaded as an Excel file.
The downloaded file is saved as [YYYY-MM-DD]partTimePlace.xlsx in the Downloads folder.

Manage Part-time Employee

You can add and manage part-time employees. You can also search and view part-time employees by condition and download the part-time employee list as an Excel file.

The Manage Part-time Employee menu is laid out as follows.

Add Part-time Employee

You can use an account registered in 'HR > Members > Employee Management' by converting to a part-time employee account.

The following describes how to add part-time employees.

  1. Click 'Admin Menu' at the top right of the PC web, and then click 'HR' in the pop-up window.
  2. Click at the top left of the screen.
  3. Click ‘Part-timer > Manage Part-time Employee’ from the menu.
  4. Click 'Add'.
    • To convert an employee to part-time, search for their name or department in the Employee Name field and select.
      • A member can only convert to part-time status if their employment status is either Work or Leave. Retirees or prospective employees are not searched.
      • Accounts of members with a history of creating default approval forms (including temporary saves) cannot be selected. For part-time employees, certain restrictions may apply to actions such as composing documents or processing for approval when using the Approval service.
        • If you convert to a part-time employee account, you can only use approval forms specific to part-time employees. (Request Leave Form, Work Result Request, Work Plan Request of Part-timer)
        • Part-time employee accounts cannot approve documents. Therefore, even if a part-time employee account is added to the document's approval line, it cannot approve documents.
        • The part-time employee account can only view documents in the 'Approval Document > All' document box.
      • After a member account is converted to a part-time employee account, it cannot be converted back to a member account. It will also be removed from the 'HR > Member > Manage Employees' list.
      • Members without a hire date cannot be converted to part-time employees. The member's hire date serves as the start date of the contract for the part-time employee.
      • All basic and additional information of the account will be deleted.
      • Reset the account's annual leave information. Work information and work hours data will be maintained.
      • Account approval lines, department heads, managers, and management permission will be maintained.
      • Reports to, Appointment, Department Head, Concurrent Position, Concurrent Position in Corporate Group, and Appoint Leave for accounts will all be canceled.
    • Select the workplace.
    • Enter the hourly wage.
      • As for hourly wage, Korean won is applied according to the reporting currency. The payroll can't be settled if the hourly wage information is not set.
      • Enter an amount that does not include the weekly holiday allowance for hourly wage.
      • The weekly holiday allowance is calculated separately according to the contract information of the part-time employee and the company's weekly holiday information.
    • Daily work hours are used for payroll calculations as the part-timer's contract information.
    • Select a weekly holiday.
      • Part-time employees who work more than 15 hours a week are given a weekly day off, and the weekly holiday allowance is paid, even when the employee does not work on holidays.
    • Select the workdays.
      • When setting workdays, you can't select days designated as weekly holiday. Workdays are used for payroll calculations as the part-time employee's contract information.
    • Select the contract type. It is only displayed when you are using Part-timer Salary. If you don't select a contract type, it may be excluded from the payroll settlement target.
      • Depending on the contract type, the applicable deductible items (national pensions/health insurance/long-term care insurance/employment insurance/earned income tax/local tax) are selected, and not-applicable deduction items are displayed in gray.
      • Please check the deduction items for each contract type. (Refer to Table of Condition/Payment/Deductible Item by Part-time Contract Type)
      • In case of day labor (contract period of less than one month, daily wage of over 150,000 KRW, and days of work of less than 60 hours per month), when calculating the income tax, the simplified tax rate table is applied in the same way as for regular employees. Please note that daily earned income withholding tax amount is not calculated.
    • Enter the average monthly remuneration. If is displayed only if you're using Part-timer Salary.
      • If the contract type is ‘Contract Position’, the average monthly remuneration is a required field. Average monthly remuneration is used to calculate the National Pension premium. Enter the value excluding the tax exempt amount.
      • Enter the total amount of remuneration for the previous year divided by the number of work months if the contract start date is before October of the previous year.
      • In other cases, enter the amount obtained by dividing the total amount of remuneration determined to be paid for one year from the contract start date (in case that the contract period has been set to less than one year, the contract period). (If there are fewer than 20 workdays in the month to which the contract start date belongs, then exclude that month.)
    • If you Use Part-timer Payroll, the Payroll Account item is displayed. Enter the part-time employees' payroll information.
      • Entered account information is displayed on the part-time employee's payroll statement, and the account information can be viewed and edited in ‘My Work > Manage Payroll > Manage Payroll Account’.
    • Enter the job function.
    • If needed, attach the relevant file.
  5. Click ‘Save’.

View and Edit Part-time Employee Details

Clicking of a part-time employee you want to search and manage in detail in the part-time employee list, will display detailed employee information, workplace and manager information on the employee's details page. On this page, you can edit or print the created information of the part-time employee.

Edit Part-time Employee Information

The following describes how to edit part-time employee information.

  1. Click 'Admin Menu' at the top right of the PC web, and then click 'HR' in the pop-up window.
  2. Click at the top left of the screen.
  3. Click ‘Part-timer > Manage Part-time Employee’ from the menu.
  4. Click of the part-time employee whose information will be edited in the part-time employee list.
  5. Apply the modified content in Basic Information.
    • If you don't use Appointment, you can edit only the business place, resident registration number of part-time employee basic information. If you are using the Payroll service, Resident Registration Number is a required field. You can edit other basic information in ‘Admin > Members’.
    • If you are using Appointment, you can edit department, job position, user type, and job title of basic information.
  6. Apply the modified content in the contract information. When you are using Part-timer Salary, items related to Settle Payroll are changed to a form that can be edited by clicking the 'Edit' icon.
  7. Click ‘Save’.
    • The edited content is saved.

Part-time employee with no hired date

  • Display the Date Hired item on the HR card as blank
  • When the hired date is deleted, removed form target of Settle Payroll ('HR > Part-timer > Settle Payroll')
    • If the hired date is removed before the payroll is confirmed, it is immediately removed from the target list

Delete Part-time Employee

The following describes how to delete a part-time employee.

  1. Click of the part-time employee whose information will be deleted in the part-time employee list.
  2. If you are using Appointment, click ‘Delete’ at the bottom of the HR Card.
    • If you do not use Appointment, delete the account from ‘Admin > Member’.

Print Part-time Employee Information

  1. Click of the part-time employee whose information will be printed in the part-time employee list.
  2. Click 'Print' at the bottom of the screen.
  3. When a Print pop-up window appears, check the details to be printed and click ‘Print’.

Download Part-time Employee List

The following describes how to download the part-time employee list as an Excel file.

  1. Click 'Admin Menu' at the top right of the PC web, and then click 'HR' in the pop-up window.
  2. Click at the top left of the screen.
  3. Click ‘Part-timer > Manage Part-time Employee’ from the menu.
  4. If necessary, enter the conditions of the part-time employee you want to search in the search box and click 'Search'.
    • You can view the details of part-time employees that match entered conditions.
  5. Click 'Download'.
    • Document Open Password (Verify): Enter a password required to view a downloaded document.
    • Reason for Download: Enter the reason for the download. You can view the entered reason in the download history.
    • Click 'Download'.
      • The list of part-time employees is downloaded as an Excel file.
      • You can check the download history in the ‘Download History’ tab.
The downloaded file is saved as [YYYY-MM-DD]parttime_members.xlsx in the Downloads folder.

Download History

The following describes how to view the download history of the part-time employee account list as an Excel file.

  1. Click 'Admin Menu' at the top right of the PC web, and then click 'HR' in the pop-up window.
  2. Click at the top left of the screen.
  3. Click the ‘Download History’ tab in ‘Member > Manage Part-time Employees’ from the menu.
  4. If necessary, enter the part-time employee conditions to be searched in the search window, and then click ‘Search’.
    • You can view the download history that matches the entered conditions.

Manage Payroll Statement

You can view payroll statements, and search and view payroll statements by conditions. You can also download the list of payroll statements as an Excel file.

If Set Part-timer Payroll is set to 'Use' in the 'Settings > Manage Part-timer Usage' menu and the reporting currency is KRW, the Manage Use of Part-timers menu will be displayed. For the detailed setting instructions, see Manage Part-timer Usage.

The payroll statements are displayed in the list of payroll statements only when payroll settlement is confirmed in the Payroll Settlement menu. For more information, see Settle Payroll.

The Payroll Statement page is laid out as follows.

  • When the payday and payroll set in the ‘Settings > Manage Part-timer Usage’ menu are finalized, it displays them at the set time (See Set Part-timer Payroll, Settle Payroll)
⑤ Summary of payroll settlement history It displays the number of paid/unpaid payroll, currency, total amount paid, total deduction amount, and actual amount paid to all part-time employees

View Payroll Statement

The following describes how to view the payroll statement for a confirmed and settled month.

  1. Click 'Admin Menu' at the top right of the PC web, and then click 'HR' in the pop-up window.
  2. Click at the top left of the screen.
  3. Click the Part-timer > Manage Payroll Statement menu.
    • The list of payroll statements for all part-time employees is displayed.
    • A payday in the most recently confirmed settlement month is displayed in Payday.
      • <Example> If payroll for March is confirmed, then the payday is displayed as the date set by the company (April 10).
      • If the payroll of the confirmed month is settled again by importing the payroll history on the payroll settlement page, then it is deleted from the payroll statement management list
  4. To view details in the payroll statement, click .
    • Items Payable: Basic salary, weekly holiday allowance, and overtime/night/holiday allowances are displayed. The Meal Allowance item is displayed when the company included the meal allowance in the items payable when setting the use of part-timer payroll. If the company also set up additional items payable, then those items may also be displayed.
      • Weekly holiday allowance is applicable if the form of contract for a part-timer is a contract part-timer, day laborer, or day laborer with daily wage of 150,000 KRW or more. (See Table of Conditions, Items Payable, and Deductible Items by Part-timer Contract Type)
      • Overtime/night/holiday allowances are displayed if the company uses the Attendance service, or an overtime/night/holiday work is recognized. (It is not applicable for business places with fewer than 5 employees)
    • Deductible Items: Deductible items according to the part-time employee's contract type are displayed. (See Table of Conditions, Items Payable, and Deductible Items by Part-timer Contract Type) If the company set additional deductible items when setting up use of part-timer payroll, then they may be displayed.
    • Work Status: General, overtime, night, holiday general, holiday overtime, or holiday night information is displayed if the payroll calculated reflects work status. The number of workdays and total work hours is displayed if the payroll calculated reflects contract information.
    • Calculation Method: Calculation formulas for basic salary, weekly holiday allowance, overtime/night/holiday work allowance, and paid holiday allowance are displayed. If the meal allowance is set up in Set Part-timer Payroll, then the calculation formula for the meal allowance is also displayed. If additional items payable and deductible items have been added and the calculation formulas for those have been entered, then the formulas are also displayed.
      • See View and Edit Payroll Details for formulas for calculating basic salary, weekly holiday allowance, overtime/night/holiday allowances, and paid holiday allowance.
  5. You can print the payroll statement's details by clicking ‘Print’.

Download Payroll Statement List

The following describes how to download the list of payroll statements as an Excel file.

  1. Click 'Admin Menu' at the top right of the PC web, and then click 'HR' in the pop-up window.
  2. Click at the top left of the screen.
  3. Click ‘Part-timer > Manage Payroll Statement’ from the menu.
  4. If necessary, enter the payroll statement conditions to be searched in the search window, and then click ‘Search’.
    • You can view the payroll statements that match the entered conditions.
  5. Click 'Download'.
    • The list of payroll statements is downloaded as an Excel file.
The downloaded file is saved as [YYYY-MM-DD]parttime_pay.xlsx in the Downloadsfolder.

Settle Payroll

You can settle the payroll and edit the payroll to be settled. You can also search and view the payroll history by condition before confirming the settlement, as well as download the list of payroll settlements as an Excel file.

If Set Part-timer Payroll is set to ‘Use’ in the ‘Settings > Manage Part-timer Usage’ menu and the reporting currency is KRW, the Settle Payroll menu will be displayed. For the detailed setting instructions, see Manage Use of Part-timers.

  • You can settle the previous month's payroll after the first day of each month. If the previous month's payroll is not settled, then it is possible to settle and confirm it, even if the payday has passed.
  • The target of payroll settlement is all part-time employees whose contract period includes the previous month. They also include employees whose contract will be terminated during the month.
  • It is calculated automatically using the calculation formula by reflecting the item values set in the Set Part-timer payroll from the point of payroll settlement (resettlement), along with the work status information (when using Attendance service) and contract information (daily work hours/ workdays). Settle the payroll after closing the previous month's work information.

The following describes how to settle and confirm payroll.

  1. Click 'Admin Menu' at the top right of the PC web, and then click 'HR' in the pop-up window.
  2. Click at the top left of the screen.
  3. Click 'Part-timer > Settle Payroll' from the menu.
  4. Select the year and month you want to settle the payroll for, and then click ‘Settle Payroll’.
  5. Check the details in the Settle Payroll pop-up window, and then click ‘Yes’.
    • By default, the previous month is displayed. Settle the Previous Month settles payroll from the 1st to the last day of the month, which is displayed from the 1st of the current month.
    • When selecting a month that has already settled, the payroll statement of that month is deleted in the Manage Payroll Statement menu, and you can handle settlement again by importing the existing settlement history on the settlement page.
  6. Check the settled payroll history and edit it if necessary.
  7. When completing to check and edit, click ‘Confirm’.
    • To cancel the settlement, click 'Cancel Settlement’.
    • To handle settlement again, click ‘Resettle’.
  8. Specify the display settings, and then click ‘Yes’.
    • Payroll statement is displayed to part-time employees at the specified time on the pay day.
    • When selecting ‘Not Display’, the payroll statement will not be displayed to part-time employees, only viewed to the admin.
If there are any changes to the confirmed payroll, select the year and month you want to settle from the Select Settlement Period page, and then click ‘Settle Payroll’. You can import existing settlement history to change and resettle it again.
In this case, the payroll statement displayed to part-time employees will not be searched, and the payroll statement will also be deleted on the admin's Manage Payroll Statement page.

Settle Payroll Page

Once the payroll settlement is complete, the following page will appear.

View and Edit Payroll Details

You can edit the payroll details of the part-time employee by clicking on the Settle Payroll page.

  • For a part-time employee whose contract information required for payroll calculation is not registered, the edit button is disabled. In this case, enter the contract information in ‘Part-timer > Manage Part-time Employee’, and then resettle the payroll.
  • The admin can manually edit the payment information and deduction information, but the edited details are not calculated automatically with the calculation formula.
  • For settlements reflecting the contract information, you can manually enter the allowance for night work, overtime work, and holidays on the Payroll Details page. However, the four major insurances will not be calculated automatically for the manually entered details.

The Payroll Details page is laid out as follows.

  • If a work arrangement is assigned over the whole settlement period (<e.g.,> from the 1st day to the last day), then the calculation is based on the work status by default, Reflect Work Status is automatically displayed. Since there may be cases where clock-in/out records are not reflected in the work status, the admin shall compare the part-time employee's attendance information and payroll details, and if there is a difference, then the admin can resettle the payroll by changing to Reflect Contract Information
  • Even if Attendance is used, calculations are made by reflecting the contract information by default if the work arrangement is applied during the settlement period, and Reflect Contract Information is automatically displayed
  • In case that the attendance service is not used or there is no work arrangement at the time of settlement, payroll is calculated based on the contract information, and the drop-down box is not displayed
â‘¡ Resettle Click to resettle the payroll based on information selected in the drop-down list
â‘¢ Basic information It displays the settlement start date and end date, hourly wage, and work hour information (when reflecting work status) or contract information (when reflecting contract information)
â‘£ Payment information
  • Basic salary: hourly wage x total work hours
  • Weekly holiday pay: general hourly wage x weekly holiday hours (Part-timers who work more than 15 hours a week are given a weekly day off, and the weekly holiday allowance is the amount of a day's payroll paid separately. In case of employees joining or leaving during the week, they will be paid the daily-based calculated weekly holiday allowance.)
  • Overtime work allowance: regular hourly wage x overtime work hours x 1.5 (Allowance that must be paid for the overtime hours worked, based on the work hours of a week or a day)
  • Night work allowance: general hourly wage x overtime work hours x 0.5 (Allowance that must be paid for the night work hours)
  • Holiday work allowance: general hourly wage x holiday regular hours x 1.5 + regular hourly wage x holiday overtime hours x 2 + regular hourly wage x holiday night hours x 0.5 (Allowance that must be additionally paid when working on a day designated as a holiday)
  • Paid holiday allowance: general hourly wage x work hours per day x number of public holidays
  • Meal allowance: It is displayed when the meal allowance is set to be used in Settings > Manage Part-timer Usage. The meal allowance is exempt from taxation up to 100,000 KRW/month (From the payroll settlement of January 2023, the meal allowance is exempt from taxation up to 200,000 KRW/month.)
  • Additional items payable: It is displayed if additional items payable are set up in ‘Settings > Manage Part-timer Usage’. If the calculation formula is set up, then the formula is also displayed
    • If the additional item payable is a fixed allowance, then the fixed allowance icon is displayed. It is paid in the ratio of the number of contracted days per month to the total days in the month
    • If the additional item payable is not a fixed allowance, then it is automatically calculated by the formula registered to ‘Settings > Manage Part-timer Usage’. The amount and calculation method can be edited by individual
  • Hover the cursor over to display the calculation formula
  • Items payable by default, meal allowance, and fixed allowance can't be edited
⑤ Deduction information It displays deduction items and the amount, or calculation method applied according to the part-time employee's contract type (For deduction items by contract type, see Table of Conditions, Items Payable, and Deductible Items by Part-timer Contract Type)

  • If the contract start date registered in Manage Part-time Employee is not the 1st of a month, then the national pension and health insurance items are displayed for the corresponding month but are applied as 0 KRW
  • The deductible amount is calculated automatically using a fixed formula
  • Hover the cursor over to display the calculation formula
  • Basic deductible amount can't be edited
  • Additional deductible item: It is displayed if additional deductible items are set up in ‘Settings > Manage Part-timer Usage’. If the formula for calculation is set up, then the formula is also displayed The additional deductible items are is automatically calculated by the formula registered ‘Settings > Manage Part-timer Usage’.   • Calculation tip
    • General Hourly Wage: (Basic Allowance + Weekly Holiday Allowance + Fixed Allowance)/(Work Hours + Weekly Holiday Hours)
    • Weekly Hours Off: Weekly Hours Off: Weekly Contractual Work Hours X 8/40
  • Overtime, night work, and holiday work allowances are not applied additionally if ‘Status of Business Place with Fewer than 5 People’ is set to ‘Yes’ in Set Part-timer Payroll under ‘Settings > Manage Part-timer Usage’.
  • The meal allowance and fixed allowance of employees joining the company during the month are provided in the ratio of workdays from the contract start date to the end of the month divided by the total days in the month.
  • The meal allowance and fixed allowance of employees leaving the company during the month are provided in the ratio of workdays from the 1st day to the contract end date divided by the total days in the month.

Download Payroll Settlement List

The following describes how to download the list of payroll settlements as an Excel file.

  1. Click 'Admin Menu' at the top right of the PC web, and then click 'HR' in the pop-up window.
  2. Click at the top left of the screen.
  3. Click 'Part-timer > Settle Payroll' from the menu.
  4. If necessary, enter the payroll settlement conditions to be searched in the search window, and then click ‘Search’.
    • You can view the details for the payroll settlement history that match the entered conditions.
  5. Click 'Download'.
    • The list of payroll settlements is downloaded as an Excel file.
The downloaded file is saved as [YYYY-MM-DD]parttime_payCale.xlsx in the `Downloads` folder.
