Creating Order Form

This feature is available after applying for WORKS Finance.

In the Mobile Create Order Form, you can register and manage orders received from vendors.

The following describes how to create an order form.

  1. Tap ‘Sales’ in ‘Admin Menu’ of Mobile Home. Then, tap ‘Create Order Form’ from the menu.
  2. Enter the order information in the Create Order Form page, and tap ‘Save’.
    • Business Place: Select the business place.
    • Order Number: The order number is added automatically. (The numbering rule is OR + yyyymmdd + 6-digit sequence.)
    • Sales Group: Select from among the registered sales groups.
    • Order Manager: Select a registered order manager.
    • Vendor: Select one from the registered vendors.
    • Place of Collection: Select a place of collection.
    • Order Date: Select the order date. (The default value is current date.)
    • VAT Type: Select a VAT type (taxation, tax exemption, or zero tax rate).
    • Currency: Select the currency. According to the selected currency, you can add items that correspond to the currency.
    • Unit Price Confirmation Status: Select whether to confirm the unit price.
    • Progress: You can check the order progress.
      • New: You're entering the content for a new order form.
      • Save: At this point, you've tapped the [Save] button after entering the content for the order form.
      • Shipment Available: At this point, you've tapped ‘Approve’ after tapping ‘Save’.
      • Shipment in Progress: Sale is in-progress in Manage Sales.
      • Shipment Completed: The sale has been completed in Manage Sales.
    • Note: Enter a description for the order.
    • Order Item: Tap ‘Add’ to add an order form item. You can't add items that have already been registered.
      • Item Name: Select the item to add to the order form.
      • Standard: When you select an item, the standard for the item is entered automatically.
      • Order Quantity: Enter the order quantity.
      • Sales Unit: When you select an item, the sales unit for the item is entered automatically.
      • Foreign Currency Unit Price: When you enter the item and order quantity, the foreign currency unit price of the entered item is entered automatically.
      • Foreign Currency Sales Price: When you enter the item and order quantity, the foreign currency sales price of the entered item is entered automatically.
      • Unit Price: When you enter the item and order quantity, the unit price of the entered item is entered automatically. (The foreign currency unit price is calculated automatically according to the exchange rate.)
      • Sales Price: The sales price of the item is entered automatically.
      • Discount Amount: Enter the discount amount. (The discount amount can't be greater than the sales price.)
      • Supply Price: The supply price of the item is entered automatically.
      • VAT: The VAT is entered automatically as 10% of the supply price.
      • Order Amount: The sum of supply price and VAT is entered automatically.
      • Supply Date: Enter the supply date of the ordered item.
  3. Tap ‘Approve’ to approve the order form.
    • If the order form creation has been set to get approved through the Approval service, then ‘Report Approval’ is displayed. Check the approval line and sharing information, and then tap ‘Report’.
  • If Whether to Get the Approval for Quotation is set to ‘Use’ in the ‘Sales > Settings’ menu on PC Web, then the approval process is conducted on the created quotation. If it's set to ‘Not use’, then the quotation is approved in the Sales service.
