My Approval Line

This feature is available after applying for WORKS Approval.

After registering the frequently used approval lines, recipient groups, and sharing groups, you can easily load and use them when creating approval documents. (See Create Approval Document)

Approval Line

In the Approval Line tab, you can register frequently used approval lines.

The Approval Line tab page is laid out as follows.

Area Description
① Add Approval Line Tap to add My Approval Line (See Add My Approval Line)
② My Approval Line list It displays My Approval Line list

  • Tap to edit the approval line
  • Tap to delete unused approval lines
  • Tap the approval line name to view approvers (employees or departments)
  • Change Order: Change the order by dragging and dropping to the desired location

Add My Approval Line

The following describes how to register an approval line.

  1. Tap ‘Approval > My Approval Line’.
  2. Tap ‘Add Approval Line’.
  3. Enter information in the Set Approval Line pop-up window, and tap ‘OK’.
    • Enter the approval line name.
    • After tapping ‘Add’, select the approval type and approver. (See Detailed Descriptions of Approval Type and Approver)
      • Approvers can be added individually as employees or by department (See the Item 4 in Add Approval Line)
      • The parallel approval (agreement) can be made up of multiple people, and the user can add parallel approvers as needed while composing documents.
      • To delete a set approver, tap
      • If the approval type is Parallel Approval (Agreement), then deleting the approval type will delete all grouped parallel approvers.
    • To add more approvers, tap ‘Add’ and repeat the steps.
  4. The set approval lines are displayed in the My Approval Line list.

Recipient Group

In the Recipient Group tab, you can register frequently used recipient groups.

The Recipient Group tab page is laid out as follows.

① Add Recipient Group Tap to add My Recipient Group (See Add My Recipient Group)
② My Recipient Group list It displays the list of recipient groups

  • Tap to edit the recipient group
  • Tap to delete unused recipient groups
  • Tap the recipient group name to view recipients
  • Change Order: Change the order by dragging and dropping to the desired location

Add My Recipient Group

The following describes how to register my recipient group.

  1. Tap ‘Approval > My Approval Line’.
  2. Tap 'Add Recipient Group'.
  3. Enter information in the Set Recipient Group pop-up window, and tap ‘OK’.
    • Enter the recipient group name.
    • Add the recipient. You can add recipients in the unit of departments or employees. You can add one or more departments or one or more employees.
      • When you add a department unit, all members of the selected department become recipientsIf you select ‘Include suborganizations’, the members of suborganizations are included.
      • When you add employees individually, only those employees become recipients
  4. The set recipient groups are displayed in the My Recipient Group list.

Sharing Group

In the Sharing Group tab, you can register frequently used sharing groups.

The Sharing Group tab page is laid out as follows.

① Add Sharing Group Tap to add My Sharing Group (See Add My Sharing Group)
② My Sharing Group list It displays the list of sharing groups

  • Tap to edit the sharing group
  • Tap to delete unused sharing groups
  • Tap the sharing group name to check the sharing targets
  • Change Order: Change the order by dragging and dropping to the desired location

Add My Sharing Group

The following describes how to register my sharing group.

  1. Tap ‘Approval > My Approval Line’.
  2. Tap 'Add Sharing Group'.
  3. Enter information in the Set Sharing Group pop-up window, and tap ‘OK’.
    • Enter the sharing group name.
    • Select sharing targets. You can add sharing targets in the unit of departments or employees. You can add one or more departments or one or more employees.
      • When you add a department unit, all members of the added department become sharing targets
        • If you select ‘Include suborganizations’, the members of suborganizations are included.
        • Share in the unit of departments by default. If you select ‘Enter affiliated members individually’, you can individually share to affiliated members at the time of creation.
      • When you add an employee unit, share with only the added employee
  4. The set sharing groups are displayed in the My Sharing Group list.
